Challenges
Rapidly growing data and reporting requirements
When Case IQ was founded, its primary focus was complaints management. However, after successfully adapting its platform to a customer’s very specific case management requirements, Case IQ decided to retool its platform to deliver a comprehensive case management solution.
Part of this expanded offering was a homegrown analytics component, which some customers requested to expand upon due to their growing data, analytics and insight needs. This prompted Case IQ to review the challenge of building their own BI vs buying BI, and plan for the future.
“Our reporting did basic things like obviously being able to filter, group, categorize, and reference different data fields and it even had a scheduling capability,” recalled Jason Victor, CTO at Case IQ. “But what we found ourselves having to do was attend to requests about business intelligence (BI) capabilities, when we wanted to really focus on case management.”
“It proved difficult to keep up with the demands of what the people wanted (graphing, filtering and reporting capabilities),” explained Ashley Rosa, Director of Product at Case IQ. “So, we made the business decision to focus on what our customers’ core problem to solve in the market was – investigative case management – and determined we needed a proper BI tool that we could embed in our product.”
Solution
White-label, embedded analytics with Yellowfin BI
In 2011, Case IQ proceeded to search the market for a new business intelligence solution that could meet both the evolving data needs of its customers and its own future objectives, which included selecting:
– A white-label analytics tool that could seamlessly be embedded into its platform
– Robust reporting capabilities for tracking KPIs, case activity and emerging trends
– Data security access controls for data governance
Case IQ spent some time comparing BI vendors until it came down to Tableau and Yellowfin, based on their comparable breadth of reporting and analysis features. “Some of our customers at that time were familiar with using Tableau, but we heard feedback it wasn’t a solution they liked using much for data analysis, in terms of user experience,” said Ashley.
“There were three reasons we picked Yellowfin – from a cost model point of view, it was the only BI vendor willing to work alongside us and understand how we build our own clients, Yellowfin had some great features and capabilities that Tableau or Power BI did not have, and most crucially, we were able to embed it into our existing software platform seamlessly,” said Jason.
“Yellowfin was the only tool available that would embed completely within our product in a way that seemed like Case IQ and Yellowfin were one product offering,” said Ashley. “All of our data and analytics requirements were checked off by Yellowfin, but the embedded analytics and the pricing – that was the ultimate selling point for us.”
Implementation
Seamless integration with existing Case IQ user experience
Case IQ proceeded to partner with Yellowfin and embed its analytics suite into its existing platform and user experience, acting as a fully integrated module for analytics and insights.
“It [the implementation] was quite smooth because we had decided to do a loosely coupled integration,” said Jason. “We kept Yellowfin in its own separate database and on a scheduled basis transferred data over there, and set up users and access controls manually. When we rebuilt our software in a more modern stack, we decided to make it as seamless as possible where if you did something in the app, it would auto-update our reporting system.”
As the case reporting module in Case IQ’s platform, users were soon provided with powerful reporting and analytics tools to monitor workloads and operational performance and make more strategic decisions, such as Yellowfin’s rich data visualization tools and dynamic dashboards.
The smooth integration of Yellowfin also meant it quickly became a part of Case IQ’s internal day-to-day operations. “We always consider what that will do and how it will impact the data in Yellowfin, so it is very much something that’s always top of mind for us now,” said Ashley.
Results

Case IQ has used Yellowfin for over 13 years to offer high-quality, best-in class dashboards and reporting capability using Yellowfin embedded analytics, and has evolved its business intelligence module alongside Yellowfin’s own yearly updates to offer several capabilities and benefits for their customers, including:

Originally adopting Yellowfin v5, Case IQ has since made the move to Yellowfin 9, the latest version of Yellowfin’s embedded BI suite, and continues to both extract and deliver value from its analytics partnership.
“Now and before, Yellowfin is super valuable to us, and I think it really helps us with our business and selling to our clients,” said Jason. “It sets us apart from the competition with the ability to provide business intelligence at all levels within an organization, so they’re not having to go to a central reporting group or anything like that. It’s a game changer for a lot of our clients. Case management customers have never had this kind of ability to produce their own reports without having to get somebody else involved – so Yellowfin is super important to Case IQ.”
Future
Case IQ continues to refine its comprehensive case management platform and is investigating its options in the artificial intelligence (AI) space, and how it can leverage AI to enhance its software offering – which includes Yellowfin’s upcoming AI analytics enhancements.
“AI is a big part of Case IQ’s future – we envision AI as not just a helper, but almost like a co-investigator that accompanies the user as they conduct an investigation,” said Jason. “I think even from a reporting point of view, I think something like what Yellowfin is doing with Guided NLQ and Assisted Insights, but further streamlined where the reporting can become better at highlighting insights without prompting are the avenues we are actively wanting to explore.”
